1. Acceptance and definitions
These Terms and Conditions govern access to urgentvisa.co.uk and any visa or travel consultancy service supplied under the Urgent Visa name. “We”, “us” and “our” refer to Urgent Visa. “You” means the person using the website or purchasing or receiving a service.
By using the website, submitting an enquiry or purchasing a service, you agree to these Terms and the Privacy Policy. You must be at least 18 years old or act with the authority of the person responsible for the application.
2. Nature of our services
Our services may include general eligibility and route guidance, application form assistance, document checklists, document review, appointment process guidance, travel insurance guidance, hotel or flight evidence assistance, cover letters, itineraries, interview preparation and refusal review.
The exact scope is determined by the package or written service description purchased. Work outside that scope may require an additional fee.
3. Your responsibilities
- Provide complete, accurate and truthful information and documents.
- Check all forms and documents before they are submitted in your name.
- Tell us promptly about changes to travel dates, passport details, UK status, employment, finances, family circumstances or visa history.
- Attend appointments and interviews on time and follow official instructions.
- Do not ask us to create, alter or submit false or misleading information.
- Ensure passports, residence permissions and travel documents remain valid.
We may pause or end a service where information is incomplete, misleading, unlawful or inconsistent with professional standards.
4. Fees and payments
Our consultancy fee is the price displayed or otherwise agreed before purchase. Unless expressly included, embassy, consulate, immigration authority, visa-centre, biometric, courier, translation, insurance, flight, hotel and other third-party charges are separate.
Prices and package inclusions may change, but a confirmed order will normally follow the scope agreed at the time of purchase. Payment must be made through an accepted method and may need to clear before work begins.
5. Official appointments and visa decisions
Appointment availability, processing times, requests for further information and visa decisions are controlled by the relevant authority or official service provider. We can assist with preparation and explain the process, but we cannot promise a particular appointment date, processing time, visa validity or decision.
Requirements and procedures can change without notice. Applicants should also review the latest official information for the destination.
6. Third-party services and links
Where a service involves an airline, hotel, insurer, translator, courier, payment provider, appointment platform or other third party, that provider’s own terms may apply. We are not responsible for a third party’s systems, availability, cancellation rules or performance except to the extent required by law.
7. Cancellations and refunds
Cancellation and refund rights are described in the Refund Policy, which forms part of these Terms. The amount refundable depends on whether work has started, what has already been delivered, any express request to begin during a cancellation period, and any non-refundable third-party charges.
8. Website use and intellectual property
Website text, design, branding, checklists and original consultancy materials belong to Urgent Visa or the relevant rights holder. They may not be copied, resold, republished or used commercially without written permission. You may use materials supplied for your own application.
You must not misuse the website, attempt unauthorised access, introduce malicious code, scrape protected content, interfere with forms or use the service unlawfully.
9. Limitation of liability
Nothing in these Terms excludes liability that cannot lawfully be excluded, including liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or statutory consumer rights.
Subject to those protections, we are not responsible for losses caused by inaccurate or withheld client information, official decisions, appointment unavailability, processing delays, border decisions, third-party failures, travel changes, force majeure events or use of services outside the agreed scope. Our total liability connected with a specific paid service will normally be limited to the consultancy fee paid for that service, to the extent permitted by law.
10. Suspension and termination
We may suspend or terminate access or services where these Terms are breached, payment is not made, abusive behaviour occurs, required information is not supplied, or continuing would be unlawful or professionally inappropriate. Fees for work already completed remain payable.
11. Governing law and disputes
These Terms are governed by the laws of England and Wales. We encourage you to contact us first so a concern can be reviewed informally. Mandatory consumer rights and any jurisdiction available under applicable law are not affected.
12. Changes to these Terms
We may update these Terms when services, pricing, law or business practices change. Updated Terms apply from the date published, while existing confirmed work remains subject to any rights already acquired.
